Photography and Videography Services

The Vendor is required to provide photography and videography services for use across a variety of digital platforms, including the city's website, social media accounts, corporate intranet, digital advertising, and facility displays on an as-and-when-required basis.
- Project planning and coordination
• Work in collaboration with a designated city contact prior to scheduled events or photo shoots to confirm project scope, program elements, timelines and individuals to be captured.
• Undertake location scouting, booking, scheduling, and pre-planning, as required, to meet project objectives and city timelines.
• Coordinate on site with a designated city contact, contractor or other representatives, as required.
• Complete photography and videography for a duration confirmed in writing by the city (e.g., partial day, half-day or full day).
• Ensure all photography and video align with the city corporate brand standards, including style, tone and usage guidelines.
• Capture a wide range of people, including infants, children, adults and seniors.
• Accommodate photo shoots involving individuals, small groups (1-2 participants), or larger groups of 20 or more participants, depending on project requirements.
- Talent coordination and releases
• Source and coordinate models and residents who represent a diverse mix of demographics and abilities reflective of city population.
• Talent may be sourced through:
o A third-party modelling agency,
o A call for models issued by the contractor, and
o City-provided contacts.
• Ensure all models are unique to each photo shoot and are not reused across city photography projects without written approval from the city contact.
• Submit all proposed models for city approval no less than one (1) week prior to each sod models for scheduled photo shoot
• Provide a detailed pricing breakdown for talent costs
• Use of any alternate or supplementary consent or release forms by the contractor is not permitted.
• Images and video captured for a city project may not be used, released, or repurposed by the contractor for any other purpose without the city's prior written approval.
