Photography and Videography Services

The Vendor is required to provide photography studios and videography production companies for the provision of student photography, portrait, and videography services on an as required basis throughout the year.
- Services may include, but are not limited to, school portraits, graduation ceremonies, and team photography.
- Photography services
1. Service flexibility
• Accommodate varying service durations, including full-day and half-day onsite photography sessions, as required.
2. Equipment requirements
• Professional-grade cameras and lenses;
• Lighting systems, stands, and modifiers;
• Backdrops and staging materials;
• Crowd management and control equipment; and
• Any additional equipment required to ensure consistent, high-quality output.
3. Service delivery and image capture
• Individual and group portrait sittings (e.g., student portraits and graduation portraits);
• Event photography (e.g., graduation ceremonies, academies, tournaments, and special school events).
4. Online ordering platform
• View and select photographic proofs; and
• Place and process orders, including secure payment transactions.
5. Digital image requirements:
• File format: jpeg (high quality) or tiff, as specified by division
• Resolution: minimum 300 dpi for print-ready images
• File size and dimensions: as specified per use case (e.g., yearbook, archival, web)
• Colour profile: srgb or adobe rgb, as required
• Orientation and cropping: consistent and standardized across all images within a set
• File naming convention: structured and consistent (e.g., school_studentid_lastname_firstname), subject to division requirements
• Delivery method: secure electronic transfer (e.g., encrypted file transfer, secure portal, or approved cloud platform)
6. Yearbook requirements:
• Images must comply with current professional school photographers association (pspa) standards, including:
• Uniform head sizing and positioning for portraits;
• Consistent background formatting (where applicable);
• Appropriate spacing and alignment for layout integration;
• Delivery in formats compatible with school yearbook publishing software.

1. Service flexibility

2. Equipment requirements
• Professional-grade video cameras and lenses;
• Audio recording equipment (e.g., microphones, mixers);
• Lighting systems and supports;
• Stabilization equipment (e.g., tripods, gimbals);
• And any additional production tools required to ensure high-quality video output.
3. Production services
• Development of a production schedule;
• On-site filming and videography;
• Audio recording and sound management;
• Lighting design and setup;
• Post-production editing;
• Sourcing and licensing of music and other media assets; and
• Preparation and distribution of final video deliverables.
4. Video file requirements:
• Format: mp4 (h.264 or h.265 encoding) unless otherwise specified
• Resolution: minimum full hd (1920 × 1080); 4k preferred for key events where feasible
• Frame rate: 24 fps, 30 fps, or 60 fps, as appropriate for the event
• Aspect ratio: 16:9 (standard), unless otherwise requested
• Bitrate: sufficient to maintain high visual quality without excessive compression
• File naming convention: structured and consistent (e.g., school event date version), subject to division requirements
• Delivery method: secure electronic transfer via approved platform
5. Editing and production standards:
• Smooth transitions and professional sequencing
• Colour correction and consistent visual grading
• Inclusion of titles, captions, or branding elements where specified by division
• Licensed music only; no unauthorized or copyrighted content
6. Web and accessibility standards:
• Web-ready versions optimized for streaming and download
• Optional captioning or subtitles, where requested, to support accessibility requirements.
