RFP Description

The vendor is required to provide a comprehensive collection analysis software solution.
- These activities include:
• Collection curation: the active and ongoing process of selecting and organizing library materials to meet the needs of the community.
• Collection maintenance: the ongoing tasks required to keep the library's collection in good physical and digital condition.
• Collection assessment: the regular evaluation of the library's collection to ensure that it is meeting the needs of the community and supporting the library's mission.
• Collection deselection: the process of identifying and removing items from the library's collection that are no longer needed or relevant.
• Collection marketing: the promotion of the library's collection to the community.
- Software must include:
• Curation: support for vendor-neutral selection processes that facilitate the development of diverse collections aligned with customer interests.
• Maintenance: include tools to effectively manage collection size and success across all locations, as well as the option for floating collections
• Assessment: provide user-friendly analytical tools and a clear, accessible data dashboard for sharing analysis with stakeholders.
• Deselection: allow for customizable deselection standards.
• Marketing: provide tools that support marketing the library’s collection to customers and stakeholders.
• Diversity, equity, and inclusion (DEI) analysis: include tools for DEI analysis of the collection.
• Data: provide real-time data and analytics.
• Holistic view: offer a comprehensive view of all collections, integrating both physical and digital resources.
• Reporting: individual user accounts should be able to create, save, and schedule reports.
• Administrative accounts must be able to create, save, and schedule reports, as well as assign report execution to individual user accounts.
• Access control: enable the creation of varying levels of administrative access with unlimited user accounts.
• Training: include comprehensive training in the cost.
• Implementation support: include implementation support in the cost.
• Integration: integrate seamlessly with existing library systems, including Polaris, hoopla, and overdrive.
• Data security: adherence to data privacy and security standards.
• Technical support: ongoing technical support availability.
• Documentation: provide clear and comprehensive user documentation.
