RFP Description

The vendor is required to provide to design and implement a comprehensive employee survey that gathers meaningful, actionable data and insights.
- Our faculty members teach in traditional academic programs along with competitive workforce training programs in a variety of industries to include energy, manufacturing, healthcare, engineering, consumer sciences, construction, media arts and information technology.
the college consists of four classifications of employees: faculty, executives, professional or technical and clerical or support.
1. Preparation phase
• Conduct an initial consultation meeting with agency to understand survey objectives, target audience, and specific requirements.
• Develop a detailed survey plan outlining the methodology, timeline, and deliverables.
• Collaborate with agency to finalize survey questions and format.
• Provide a draft survey for review and feedback.
2. Survey administration
• Distribute the finalized survey to all employees using a secure and confidential platform.
• Monitor survey participation rates and send reminders to encourage maximum response.
3. Data collection and analysis
• Collect survey responses and ensure data integrity and confidentiality.
• Analyze survey results using appropriate statistical methods.
• Prepare a comprehensive report summarizing survey findings, including key insights, trends, and recommendations.
• Present survey results to agency in a detailed presentation.
4. Actionable recommendations
• Provide actionable recommendations based on survey findings to improve employee satisfaction and engagement.
• Assist in developing an action plan to address identified areas of improvement.
5. Staff training
• Conduct virtual and/or in-person training sessions for designated agency staff on the usage, functionality, and interpretation of the online reporting portal.
• Ensure that staff is proficient in utilizing the portal's features for efficient navigation and report interpretation.
6. Employer value proposition and branding support
• Provide access to employer branding services that enable college to highlight its authentic and unique hiring differentiators.
• These services will support efforts to attract, recruit, and retain employees who align with the college’s values, mission, and culture.
• The contractor will deliver employer branding assets as part of this engagement, which may include messaging frameworks, digital materials, or other content designed to enhance agency visibility and appeal as an employer of choice.
7. Ownership of the data collected
• The college will own all raw data collected by the supplier.
• The contractor will not be permitted to use the raw data for any other purpose than the survey.
• Raw data, and the other documents created or used for the survey, will be returned to the college in a form (for example, MS excel) that will enable the college to use it for comparison purposes when the college undertakes future surveys.
• The college will be entitled to use all of the questions, methodology, and format of the survey in future surveys, regardless of whether the supplier is retained to conduct that future work.
8. Survey samples requirement
• These samples will help us evaluate the quality, clarity, and relevance of the survey tools and methodologies proposed, and ensure alignment with agency goals and values.
