The Vendor is required to provide to secure tenders for the implementation of a new enterprise resource planning (ERP) system that includes human capital management, finance, and procurement functionality; the new ERP system is intended to serve the needs of city for many years to come.
- The city has chosen workday as its new ERP solution.
• Provide integrated functionality among the functional areas of HR, finance, and procurement.
• Improve current operations and enable process efficiencies that support future business requirements.
• Allow for seamless integration and communication between the new ERP and other key city systems (both internal and external).
• Support compliance requirements.
• Deliver a consistent employee and manager experience that is simple, agile, intuitive, integrated, and innovative, including more intuitive self-service functionality.
• Build a foundation that will be adaptive to future trends and innovations.
- Program includes:
• Implementation of the ERP software, including configuration, customization and data migration.
• Change Management
• System, Data and Reporting
• Testing
• Data Conversion
• Go-Live Readiness
• Program Management
• Post implementation support to troubleshoot and resolve issues for a period not to exceed 1 year.
• The selected vendor must submit a separate cost proposal for the 1-year post-go-live support, detailing:
• Pricing structure (e.g., fixed fee, hourly rates, tiered support options).
○ Services covered in the support plan.
○ Availability & response times (e.g., 24/7, business hours, critical incident handling).
○ Support escalation process.
- the proposer will be required to develop a data governance framework (including a data dictionary and glossary), create a data conversion/migration strategy, design the inter-application roles and security, and build interfaces for remaining non-ERP systems.
- Integrations and data stream includes but is not limited to:
• Short and long-term architecture and integration strategies
• Safely decouple landscape, develop interim architecture plans and move to an ERP centric approach
• Shut down tool integrations as they become obsolete
• Plan, develop and unit test an ERP-centric design when an integration is needed.
