RFP Description

The Vendor is required to provide event merchandising services.
- Equipment
• Proper structural equipment, including but not limited to: tables, banners, signs, display racks, generators, walled tents, and trailer.
• Preference will be given to the contractor who is able to provide a self-contained merchandise trailer in the event of inclement weather.
• A point of sale (POS) system that allows for payment with cash, all major credit cards, and electronic payments on site.
- Personnel
• Sales personnel will be on-site conducting sales from opening to closing each day of the meet.
• Shall have enough experienced operators that will perform and conduct business in a good, clean, and professional manner.
• Solely responsible for the behavior of their employees, and, if necessary, will take immediate, corrective action when requested by the city.
- Merchandise
• Include a list of proposed apparel items available for customization and sale on site.
• List size selection (up to 3x), available colors, customer pricing.
• Include photos where appropriate.
• Each event has a current logo that is owned by the city.
• Must include, at no charge, access to a designer to update logos (color schemes, years, etc.) and provide the city with logos in various file types suitable for a variety of uses (print, web, digital billboard, broadcast, etc.) 2026 logos must be available by august 01, 2025
• Must have the ability to customize apparel items with on-site printing abilities to meet customer preferences and increase retail price points.
- Customer service
• Provide immediate delivery at point of sale for all items purchased.
• Include your refund and customer satisfaction policies.  - Added value to city
• Include sample sales reports from previous like-sized track and field events.
• Required to give the city sales reports at the end of each meet.
• Required to fulfill event champion t-shirts for both collegiate meets by providing a coupon to be distributed to event champions.
• Create a customized t-shirt for each champion to include the spring break meet logo, event logo, and event champion logo (historically 70-80 t-shirts per meet.) preference for champion t-shirt to be a choice of long or short-sleeved, and up to 3 shirt color options.
• Include the cost to be charged to the city (if any) for each event champion t-shirt.
• Include any additional value available to the city.
• Examples could include: reduced costs or complimentary apparel for volunteers/officials/staff, etc.
