The vendor is required to provide for supplying all materials, labor, equipment, certificates, and/or insurance necessary for the performance of event services on an “as, if, and when required’ basis consisting of the following, but not necessarily limited to:
- Category 1 – Event production/programming
• Event planning
• Production and coordination
- Category 2 – event/tradeshow rentals
• Rental of tent, chair, table, stage, step, drape, carpet, vinyl flooring, décor, etc.
- Category 3 – electrical and audio-visual services and equipment rentals
• Rental, setup, operate, and takedown of audio-visual equipment – speaker, mixer, microphone, wiring, transmitter, receiver, antenna, monitor, projector, screen, computer, control unit, etc.
• Rental, setup, operate, and take down of electrical equipment – lighting, controller, power generator, wiring, etc.
• Technician support
- Category 4 – event set-up and strike
• General labor for event setup, takedown, cleanup, and/or moving of event equipment and supplies. (Flooring, seating, etc.)
- Category 5 – catering
• Preparation and delivery of food and/or beverage
• Food and beverage servers
- The services shall be performed in accordance with the best practice standards of diligence, skill, care and efficiency expected of a competent, licensed successful proponent performing work of a similar nature to the services.
- All goods, work and materials provided as part of the services, shall be non-defective and fit for their intended purposes and shall function safely in all respects.
- Electrical and audio-visual equipment must be installed by licensed, certified, and insured technicians.
- The successful proponent’s on-site servicing staff and sub-contractors may be required to give consent for a criminal record information check which will be conducted by the plant.
- The work area must be kept clean and safe during and at completion of work.
- Contract Period/Term: 1 year
