RFP Description

The Vendor is required to provide that vary from small interior renovations, site improvements and utility projects to ground-up new facilities and major additions that could be in the early programming phase, design phase, construction or closeout phase.
- Features shall include but are not limited to financials, design documents, quality control, field reports, action item list / issues, schedules, meetings, punch lists, etc.
- Cloud-based SaaS solution – the system must be a cloud-based, software-as-a service (SaaS) solution to ensure scalability, accessibility, and reliability.
- Provide a completed voluntary product accessibility template (VPAT) that covers all software user interfaces and meets the WCAG 2.1 AA requirements.
- Cloud-based infrastructure & security – the system must be cloud-based, with a strong data security and backup plan.
- Provide applicable security certifications, such as soc2 and HECVAT lite, to ensure compliance with industry standards.
• The system should have the ability to create custom fields by select users and system administrators.
• The bidder should explain in detail the reporting function of the system.
• The bidder should explain in detail module building function and the flexibility and ease with which the office can design and build modules as needed.
• Capability to isolate monitoring/reporting by multiple factors for individualized monitoring as well as aggregating and summarizing monitoring activities.
• Capability to upload artifacts or documents in multiple formats including but not limited to excel (.xlsx, .xls), word (.docx, .rtf), pdf, text, office formats, or API support; capability to upload image files such as .jpg or .tif.
• Flexibility for partners to upload and monitor multiple reports regarding data or compliance.
- System maintenance and support
• Software updates & upgrade flexibility – while the vendor is responsible for implementing system updates, agency must have the ability to apply upgrades on its own timeline to align with institutional needs.
• Training & user support – initial training must be provided, with options for additional training as needed to support ongoing system use.
• Comprehensive support structure – the vendor must offer email and phone support, along with a trouble ticket system; a dedicated ticket or case management system should ensure timely issue resolution and effective tracking.
• Maintenance & problem escalation procedures – the vendor must clearly define the procedures for system maintenance, technical support, and problem escalation to facilitate prompt and effective issue resolution.
• Regulatory compliance – the system must meet all applicable local, state, and federal data security standards to ensure compliance with regulatory requirements.
• Implementation plan – the vendor must provide a detailed implementation plan outlining the process, timeline, and key milestones for system deployment.
