RFP Description
The vendor is required to provide a solution to pick up and legally dispose of end-of-life assets and related materials.
- End of life assets may include computers, display units, and mobile phones, printers, networking equipment, peripherals etc.
- Pick up and transport to secure recycling facility
• The recycling containers at each location and when the first recycling container is full and the second recycling container is ¾ full at the same location, the township will contact the contractor and by email to schedule a pickup.
• The township receives a response to any request for a pick up within 48 hours and that a pick-up will be made by or on behalf of the contractor as soon as reasonably practicable but in any event no later than five (5) business days after the request for a pickup has been sent to contractor by the township.
• The township will ensure the recycling containers are ready for pickup in an accessible area. 
• The township will ensure the assets are ready for pickup in an accessible area.
• The contractor will or will ensure that the contractor will attend and pickup all loads of assets as requested by the township, during business hours, Monday to Friday, 9am to 4pm (PST) excluding holidays.
• The contractor will ensure that its drivers, employees, contractors, and agents (and, if applicable, contractor’s drivers, employees, contractors, and agents) involved with the pickup of assets from the township are bonded, insured and have up to date and clean criminal background checks.
• The recycling facility is at all times secure and equipped with alarmed cctv, card swipe entry for all personnel, contractors, agents and visitors, restricted access points and such other security measures that a first-class recycling facility dealing with potentially sensitive confidential information and assets would use.
a. Data storage media handling
• If the township instructs those certain hard drives are designated as resale candidates, the contractor will ensure that data wiping and a data wipe report is provided at no extra cost;
• If the hard drive cannot be wiped due to bad sectors, the contractor will ensure it is physically destroyed and reported by product category and product category weight in the certificate of destruction; and
• Ensure that removable data media such as tape, floppies, CDs are grouped into specific product and category and are always destroyed at the recycling facility with a hard drive shredder.
- Documentation and reporting
• Data wipe report for hard drives that are resold (as applicable);
• Certificate of recycling and destruction for each shipment by weight;
• Receiving scale ticket; and
• Resale settlement report for each shipment.
