RFP Description

The vendor is required to provide from experienced telemarketing and multi-channel fundraising firms to solicit financial support from university alumni.
- The program will be supplemented with communication support across various channels, potentially including direct mail, email, short message service (SMS), and social media.
- The outreach strategy should utilize phone as the main communication channel, but can supplement outreach and fulfillment with email, direct mail, and SMS to engage prospects.
- The approach should incorporate the identification of alumni with a higher likelihood of giving, crafting tailored outreach strategies for these groups, and ensuring effective follow-up and fulfillment across all segments to ensure donations are successfully received.
- The firm shall:
• Telemarketing services
o Develop and execute a comprehensive telemarketing strategy to solicit financial contributions from university alumni;
o Conduct live phone calls to alumni, leveraging personalized scripts that reflect alumni interests and giving histories;
o Track and report on call outcomes and donor pledges, providing detailed analytics to university; and
o Maintain an ongoing call schedule to maximize alumni engagement throughout the fiscal year.
• Multi-channel outreach strategy
o Develop and execute a comprehensive outreach strategy that supports the telemarketing program through solicitation and fulfillment efforts.
o Channels may include direct mail, SMS, and social media to engage alumni and encourage contributions.
• Collaboration and reporting
o Provide regular progress reports on the effectiveness of each communication channel, including telemarketing, direct mail, SMS, social media, and ai-driven interactions;
o Collaborate with university to refine messaging and strategies based on donor responses and engagement metrics; and
o Ensure that all communication complies with university policies and legal requirements, maintaining privacy standards and adhering to donor consent preferences.
• Metrics and success tracking
o Develop key performance indicators (KPIS) to measure the success of each element of the program, including conversion rates, donation amounts, and alumni engagement levels;
o Implement data tracking systems to monitor the performance of the integrated fundraising channels, ensuring that results are measurable and actionable; and
o Use insights from analytics to continuously improve and optimize the telemarketing and multi-channel outreach efforts.
