RFP Description

The vendor is required to provide a qualified proponent to expand our current usage and implementation of further solutions that include the microsoft teams’ collaboration toolset to include public switched telephone network (PSTN) enabled voice communication service.
- The expectation is multifaceted as we have many different use cases on campus so there will be a mix of telephony technologies required for cases such as fax, lifeline services, and high availability service lines
- This engagement will include the design and implementation of the proposed solutions as well as the ongoing service and support.
- The university expects the proponent to supply all labor, materials, tools, equipment, training, and incidentals required to implement the proposed design, as per the requirements outlined herein.
- This migration project is required to support the replacement of the university’s existing Avaya meridian cs1000 platform which has not been supported by the manufacturer for some time.
- The general implementation of microsoft teams VoIP is expected to be conducted in an accelerated approach to mitigate the risk posed by the aged switch.
- Items and services provided by the university
1. Technical items and services
• Supply all microsoft teams phone licenses through its microsoft office 365 licensing agreements. 
• Supply all microsoft teams licensing for all users. 
• Provide space on campus, as required, for physical hardware.
• Provide access for the installation of vendor-supplied equipment upon request. 
• Provide project resources to support the implementation and may lead to selected activities, as determined during project initiation.
• Provide project oversite via its m365 adoption project
2. Project delivery support
• Provide project management support, coordination support, and steering committee oversight. 
• Lead the development and distribution of all project communications to the university faculty and staff, with input and support from the proponent, as required.
• Facilitate reviews of business requirements to document telephony and hardware requirements for groups and locations across campus, in conjunction with the vendor, as required. 
• Provide support for configuration and testing, as required.
3. Project resources 
• Project manager, 0.5 FTE for the duration of the project 
• Change manager or business analyst, 0.5 FTE for the duration of the project 
• other technical resources as determined during project initiation. 
• The university will provide project resources to support the implementation and may lead select activities, as determined during project initiation.
