The Vendor is required to provide implementing an innovative software as a service (SaaS) cloud-based solution to integrate the county’s financial management, general ledger, budgeting, purchasing, payroll and human resources software programs in a singular system.
- Core requirements of this work include:
• Software Solution – provide the county with software for general ledger, budgeting, purchasing, payroll and human resources information system purposes that are able to automatically communicate data between the various modules and provide a user-friendly interface.
• Implementation – working in conjunction with county staff, set up the new software structure and requirements, following an established schedule and budget.
• Data migration – migrate existing accounting and human resources records for a period of at least 5 years to the new system.
• Integration - integrate the new software solution seamlessly with county's existing remaining technology infrastructure and systems.
• Training - provide comprehensive training sessions for county staff members of various roles and responsibilities to ensure they are proficient in using the software effectively.
• Support and maintenance - offer ongoing technical support, updates, and maintenance services to address any issues and ensure the software's optimal use and performance.
• Integrated Solution – Replace the current siloed data systems to share data across the organization and reduce manual intervention.
• Implementation Plan - A comprehensive implementation plan, covering software rollout, data migration, and customization.
• Training Materials & Sessions – Provide a comprehensive and user friendly training methodology, platform, and plan. Specify the materials and documentation provided to ensure staff ease and proficiency in using the software effectively.
• Continuous Support - Offer continuous support throughout the implementation process and beyond, promptly addressing challenges as they arise, ensuring a seamless transition and optimal software usage.
• Technical Support Documentation - A package including user manuals, technical specifications, disaster recovery guide, and support contact information for reference and guidance.
