The Vendor is required to provide a comprehensive human resource information system (HRIS) solution not limited to the following:
• System Implementation:
○ Deliver and configure a cloud based HRIS that meets agency needs.
○ Import existing employee records from excel spreadsheets and validate data integrity.
• Data accuracy and accessibility:
○ Centralized and secure platform to track and maintain up-to-date employee records
○ Automated administrative functionalities
• Employee self-serve:
○ Enable employees to manage their personal information, view pay or vacation requests/ balances, and submit requests through a user-friendly self-serve portal
○ Access and download paystubs, T4’s
○ Access to download employment verification letters
• Employee onboarding:
• Solution must support pre-boarding workflows such as automated offer letters, employee agreements for signatures and onboarding documents.
• Upload of personal and banking information, emergency contacts, tax forms, etc.
• Onboarding automated form capabilities
• Internal storage of employee files.
• Employee off boarding:
• Initiation of off boarding processes upon resignation/termination with predefined steps and deadlines.
• Notification to HR, IT, Finance, and other relevant departments.
• Onboarding automated form capabilities
• Templates for customizable exit interview forms
• Ability to store feedback data for reporting and analysis.
• Reporting:
• Ability to review turnover of employees
• Access to full time employee counts.
• Notification to HR on employee work anniversaries and birthdays.
• Ability to generate onboarding statistics and contract end dates.
