- Communications and engagement services is the primary user of the organization’s digital assets; however, other departments, external partners and external consultants regularly need access to professional-quality digital assets owned by county.
- Digital assets are currently stored in a variety of locations maintained by communications and engagement services, including Flickr, SharePoint (multiple locations) and external hard drives.
- This approach is time intensive and ineffective; it leads to time-consuming searches and often limits these searches to members of the corporate communications team due to storage locations.
- After assessing existing software and tools in consultation with information services, it was determined that the existing resources cannot meet the organization’s needs and that a dedicated digital asset management tool should be considered.
- This will improve efficiency and potentially save money since less staff time will be needed to search for assets and less money will be spent hiring photographers or assigning employees to capture photos when assets already exist.
