The vendor is required to provide time study software will be customizable allowing for the capture of key data points required by our funders, apply various permissions to both employees and admin users, and build various exportable data reports.
- Key features and functionality
• Ability to create and customize time study intervals, with multiple options, including a down to the minute interval.
• A notification system that allows the system to send reminders to users, preferably to an external email, when something is incomplete, needs review, needs signature etc.
• Ability to set individual time study goals for an employee, or group.
• Perpetual time surveying
• Payroll integration, or the ability to enter payroll data to match time sheet
• Federal electronic signature requirements
o Employee signatures within the system
o Supervisor’s approvals and signature within the system
• Adjustable variables including but not limited to:
o Activity codes
o Groups
o Classifications
• Ideal features, not necessarily required:
o Mobile application option
o Ability to pull historical data from the legacy system into the new system.
o Ability to directly upload payroll data
- Reporting
• The ability to generate and export time study reports in approved state and formatting.
• Customizable reports with filters that allow us to pull any data field as needed based upon a set of specific conditions, such as by cost center, user, time study type, etc.
• Including the ability to pull data
• A report that captures incomplete time studies.
• A report that captures entry errors
• A user audit report
• A claim analysis report
- Training and support
• All users will need to be trained in how to use the new system.
• Training components should include onsite or virtual training, how to videos, tip sheets and job aids.
• Software vendor will be expected to provide ongoing support to all users.
• Ideally there will be a help desk number that staff can contact, or a support team email.
• The expectation will be that simple user issues will be resolved within 24-48 hours during normal business days.
• More complex issues, a plan of correction and timeline should be communicated with all users within 48-72 hours.
