The vendor is required to provide contract lifecycle management (CLM) platform that covers the full lifecycle from intake through intelligence, including but not limited to:
• Intake and request: centralized portal, automated routing and priority classification.
• Authoring and drafting: AI-powered template selection, insertion of applicable clauses, multiple clause libraries based on types of agreements, pre-award contract comparison, and ability to identify and highlight deviation
• Negotiation and collaboration: real-time collaboration with redlining, version control, audit trail, and stakeholder communications, and with ability to restrict visibility of comments based on user role
• Review and approvals: automated workflows with conditional routing based on terms and risk.
• Repository and search: intelligent storage with advanced search, tagging, and metadata extraction.
• Signature and execution: integrated e-signature with audit trails and status notifications.
• Post-award management: obligation tracking, milestones, and performance management.
• Renewals and terminations: proactive notifications, tracks renewal dates and expirations to avoid unfavorable renewals, notification on termination and subsequent workflows, and archival.
• Risk and compliance: continuous monitoring, risk assessment automation, and regulatory change management, including the ability to leverage platform for COI (certification of insurance) workflow and storage as part of repository
• ERP systems integration: ability to identify, alert, and migrate executed agreements uploaded to the campuses’ systems of record, extracting and migrating both the associated metadata and the actual agreement into the central repository
• Analytics and reporting: provide robust analytics and reporting capabilities that deliver real-time insights, customizable dashboards, and data integration to monitor contract performance, compliance, and value realization across the full contract lifecycle implementation and installation: provide comprehensive implementation and installation services for the CLM solution, including system configuration, integration with existing enterprise applications, data migration, testing, and deployment to ensure full operational readiness
• Ongoing support and training: provide comprehensive training and ongoing support services, including user and administrator training, documentation, help desk assistance, system updates, and continuous improvement to ensure effective adoption and sustained system performance.
