The Vendor is required to provide comprehensive print and document services as well as print on-demand (pod) with ecommerce fulfillment.
- Print and Document Services
• General printing: high-quality digital and offset printing of materials such as brochures, reports, booklets, training manuals, business cards, stationery, forms, and signage.
• Variable data printing (VDP): ability to customize printed pieces with individualized text, graphics, or addresses.
• Design and prepress support: file setup, layout review, preflight checks, and proofing services.
• Finishing & binding: folding, cutting, laminating, saddle-stitching, perfect binding, coil binding, and other finishing options.
• Large format printing: posters, banners, trade show graphics, and other oversized materials.
• Secure printing: options for sensitive or confidential documents (e.g., secure reports, ballots, and certificates).
- Print-on-Demand (POD) Services
• On-demand ordering: ability to print and ship products as orders are received, reducing the need for bulk inventory.
• Product range: support for a wide variety of products including books, apparel, promotional items, and specialty merchandise.
• Custom branding: print items must support organization-approved brand guidelines, logos, and color standards.
• Scalability: capability to handle small, single-unit orders as well as high-volume requests.
- eCommerce Fulfillment
• Online ordering platform: vendor must provide a secure, user-friendly ecommerce solution for order placement, tracking, and account management.
• Payment processing: secure online payment options with PCI-compliant handling of financial transactions.
• Shipping & logistics: nationwide and international fulfillment with multiple shipping options (standard, expedited, bulk).
• Order tracking & notifications: real-time order status updates and delivery confirmations.
• Customer service: responsive support for end users regarding order placement, shipping, and issue resolution.
- Digital Distribution
• Support various access models including direct download, subscription, or institutional access.
• Ensure users can securely browse, purchase, or access materials through a web-based or integrated portal.
• Prepare, upload, and manage approved digital files (e.g., pdfs, EPUBS, and multimedia resources).
• Ensure consistent availability, version control, and access to all approved resources.
• Provide capability for updates or replacement of content as new editions or revisions are released.
- Promotional Items
• The selected supplier may be approved to produce, distribute, and sell promotional items (such as branded merchandise, apparel, stationery, or other materials) that feature agency name or logo.

• The supplier must not create, sell, or distribute any branded merchandise without prior written approval through the official branding and licensing process.
- Reporting & Analytics
• Monthly and quarterly reporting on print volumes, fulfillment metrics, order accuracy, turnaround times, and cost savings.
• Dashboard access for real-time reporting on inventory levels and order history.
