Visitor Badge Management System

The Vendor is required to provide a visitor badge management system that enhances safety, security, and accountability in all school facilities.
- Capable of delivering a districtwide, integrated system that allows schools to effectively register, screen, and manage all visitors, volunteers, and contractors entering district buildings.
- The system should streamline the check-in process, improve campus security, ensure compliance with district and state policies, and provide administrators with centralized reporting capabilities.
- The district is committed to maintaining a secure learning environment and seeks to modernize visitor management through a consistent, technology-driven solution that replaces manual or inconsistent sign-in processes currently used across schools.
- Provide:
•    A comprehensive Visitor Badge Management System, including software, hardware, and all related services.
•    Installation, configuration, integration, testing, and staff training for all designated district locations.
•    Ongoing technical support, maintenance, and updates for the life of the contract.
- System Requirements:
•    Electronic visitor check-in/check-out at each school site
•    On-demand badge printing with visitor photo, name, destination, date, and time
•    Capability to pre-register visitors and volunteers (if applicable)
•    Driver’s license and/or ID card scanning for verification
•    Real-time database checks against national sex offender registries
•    Integration with district staff directories and student databases (where applicable)
•    Notification to school staff of visitor arrival (if applicable)
•    Customizable visitor types (e.g., parent, volunteer, vendor, contractor)
•    Centralized reporting and audit trail for all visitor activity
•    Ability to manage visitor access during emergencies or lockdowns
- Requirements:
•    Cloud-based or hybrid preferred
•    Secure data encryption and user authentication protocols
•    Compatibility with Windows and macOS systems
•    Web-based administrative dashboard with real-time data access.
