The Vendor is required to provide for a land records management system that complies with state.
- Mandated Services:
• Land record indexing and in-house scanning (must include electronic recordings)
• Fraud alert program for residents
• System must automatically tie scanned images to recorded documents
• Remote internet access to land records
• Ability to audit and collect payment for any copies printed remotely
• Ability to print land records indices (daily to yearly)
• Ability to print reports (daily to yearly cash out reports and state reports)
• Marriage licensing (including online applications)
• Binders and archival paper
• Map indexing and imaging
• Microfilming (land records and maps)
• Microfilm storage (if needed)
• Dog licensing program (must include access for animal control)
• Cash management system
• Backup and restoration system
• Description and timeline of transition to your system (if needed)
• Conversion of data and images in current system (approximately 1973 forward)
• Software updates
• 24/7 support
• Provide staff training on all equipment and programs
• Internet connection requirements
• All data is sole property of the town and is to be turned over in a mutually acceptable format when and if the contract expires.
- Hardware to include, but not limited to:
• 1 Cashiering station
• 1 Cash drawer
• 1 Receipt printer
• 1 Volume/page label printer
• 1 Check validator
• 1 scanning station
• 1 indexing station
• 1 printer (to print reports, land record pages, indices, marriage licenses, dog licenses, etc.)
• 1 public terminal.
