The vendor required to provide software as a service (SaaS) career services management (CSM) platform and applied learning management to manage our career services operations and intricately track and manage 16 different types of applied learning.
- The system must meet these requirements:
• A single, integrated, web-based, hosted solution under one contract and pay structure.
• A comprehensive platform providing equal functionality and equivalent user experience across smartphones, tablets, and computers.
• Intuitive workflows and clear task progression and end-states for all users.
• Act-compliant real-time data integration with banner and single sign-on (SSO) for student and staff accounts.
• Smooth integration and functionality of appointment scheduling and event planning with third party applications (campus groups, outlook, canvas, etc.) and university ecommerce systems such as touch-net.
• Host and display multimodal resources (audio, video, graphics, interactive, etc.).
• Interactive real-time visualization and reporting of assessment data (learning objective metrics, first destination data, program objectives, and user analytics).
• Ability to extract data points from all silos (students, events, employers, etc.) simultaneously into a report.
• Ability to create and share custom dashboards through multiple forms of media, including but not limited to mobile, email, and print.
• The system must provide online workflow approvals for applied learning tracking between the student, academic department, supervisor, and career services.
• The system must have the ability to send automated emails for workflow approvals.
• These approvals must be available without having to log in to the system
• Ability for internal and external campus partners to create and manage one-time and ongoing events where students can register
• Options for students to be able to input their own volunteer experiences with communication directed to their site supervisor for verification
• A mechanism for students to track their volunteer experiences, for partners (community members, employers, mentors, etc.) to record their volunteer data, and for university staff to evaluate and assess volunteer data
• System that is easily accessible by students and student supervisors; maintains student applications and applicant materials and makes them easily retrievable; integrates with banner; integrates with background screening; allows for onboarding notifications; allows for completion of forms electronically; includes hiring workflows; and detailed report generation.
- Staff and faculty-specific
• Management and billing and payment for career events including career fairs, employer information sessions, advising workshops, and on-campus recruiting (interviews, tabling, classroom visits).
• Ability to manage and track 16 different applied learning types, whether for credit or co-curricular, through fully customizable and department-defined workflows.
• The ability to provide discrete employer accounts and direct posting access for all departments that provide student employment.
• Efficient creation and personalization of marketing campaigns through student and employer-facing pages with tagging and drag and drop functionality.
• Ability to create and manage subgroups for specific student types and targeted volunteer opportunities
• The ability to recruit, select and onboard student employees, integration with banner
• Differentiation and management for diverse classifications of on-campus employment (work study, non-work study, non-student hourly funding sources); and ensures only those with that funding are able to view those openings.
- Student-specific
• Automated student access to individually relevant professional development information through both system administrator tailoring and machine learning.
• Storage of student career portfolio information.
• Facilitation of direct student-employer interaction at the option and informed consent of the student.
• Ability to register for one-time and ongoing service opportunities
• A tracking mechanism for students to view and download all their volunteer experiences
• Options for students to be able to input their own volunteer experiences with communication directed to their site supervisor for verification
• Accessible through multiple platforms (i.e., computer and phone); history of “applications”; ability to “build” resume, cover letter, etc. in system
- Employer and community partner-specific
• A full suite of recruitment tools for prospective employers, including direct posting of jobs and on-campus recruitment.
• Data tracking system for posted positions and applicants.
• External partners can create, manage, and edit one-time and on-going service opportunities for students
• Ability to track the volunteer data for their own record keeping
• Options to communicate directly with registrants and potential employees through the platform.
