Scholarship Management System

The Vendor is required to provide for a Scholarship Management System.
- Students
•    Online, mobile-optimized application that includes necessary data points
•    Imported academic data from PeopleSoft
•    Imported act related data from PeopleSoft
•    Student responses that match criteria in various gift agreements
•    Ability to view history of scholarship awards, including donor profiles
•    Provide and maintain recipient consent to release information form to allow information to be shared with donors, with tools to submit thank-you letters, videos, and photos.
•    The system’s use of AI capabilities including automated student-scholarship matching, screening and ranking, and chatbots to support students with questions
•    Quality assurance reporting to identify students who no longer qualify, i.e. changes in college or major
- Administration
•    Ability to input and store scholarship provisions, restrictions and filter criteria
•    Assign colleges, departments, schools, campuses, and other awarding entities
•    Support the auto-match of scholarships via a match of information from PeopleSoft and the online application
•    Ability to match some scholarships using PeopleSoft data only
•    Rank score matches
•    Ability to view available funds based on expenditures and encumbrances
•    Provide secure submission of recommendations by academic and administrative units
•    Generate notifications to donors and communications to students that provide donor information.
•    Allow for collection and tracking of responses
- Tracking and publishing of scholarship requirements
•    Web-based, mobile-optimized scholarship listing/search tool
•    Flag to indicate whether to publish to agency website
•    Audit data entry (track who/when updates are made)
•    Ability to contact non-state entities to request recommendations, i.e. High schools, with self-serve upload or submission capabilities
•    Placeholder for internal notes to the student financial aid and scholarships office, awarders such as colleges, and advancement.
