The Vendor is required to provide to survey the marketplace to identify potential vendors to replace the legacy fleet management software with a Commercial Off-the-shelf (COTS) product and/or Software as a Service (SaaS) that provides a fleet asset management solution.
- The solution supports integration with external systems such as Fiscal, existing APIs, data exchange methods, and previous experience with similar integrations.
- Available data management and oversight tools used to validate, correct, and audit data in a decentralized environment while enabling centralized reporting and compliance monitoring.
- Any fleet asset information management features, such as VIN decoding and the ability to categorize fleet assets by payload, towing capacity, cargo volume, passenger capacity, and vehicle weight class.
- Reporting and analytical features that support fleet composition, utilization and trend analysis over time. Respondents should describe available dashboards, visualization tools, and customizable reporting options that support fleet decision-making.
- A summary of the system’s approach to security, including how it protects data integrity, ensures confidentiality, and manages user access in a multi-agency environment.
- An overview of typical implementation process, including estimated duration, phases, and roles of both the vendor and state personnel.
-The scope of this request includes, but is not limited to, the following areas:
• Fleet Data Reporting: a central platform for departments to report on fleet asset composition, utilization, and disposition.
• System Integration: Accept fleet data from other statewide systems such as Fiscal, Fleet Fuel Card, and telematics platforms.
• Data Management: Decentralized data entry and corrections by departments, with centralized access and oversight by office.
• Data Migration: Capability to migrate historical data from current FAMS system.
• Validation and Compliance Tools: Features to identify and correct data errors, track compliance, and maintain data integrity.
-The system should prioritize interoperability with existing statewide platforms and provide tools for data validation, compliance and reporting.
