RFP Description

The Vendor is required to provide a flexible, fully digital event parking management solution designed to manage single-day and multi-day event parking, departmental billing, and seamless guest experiences.
- The solution will enable university services to manage parking for conferences, athletic events, and campus gatherings with full integration into existing enforcement and payment systems, robust reporting, and flexible billing models.
- Provide event software for single and multiday parking that is intuitive for one-time use.
- General Requirements:
•    Solution should be P2PE- Payment Card Industry (PCI) Compliant
•    Solution must accept all major credit cards, including VISA, Mastercard, American Express and Discover
•    Solution will accept debit card transactions
•    Solutions will accept Apply Pay, Google Pay, and Paypal
- Single coupon for multiday management:
•    QR code generator
•    App and web-based function
•    Few data entry points (license plate)
•    Ability to use validation codes
•    Does not require a credit card on file
- Single & Multi-Day Support
- Custom Rates & Zones with the ability for the parking office to directly manage zone activation
- Self-Service Portal for Departments/Event Hosts
- Must be able to take Advance Reservations, on-demand/hourly parking, and daily passes.
- Payment flexibility
•    Event parking charges are billed to the hosting department, or an event is paid by individual attendees via credit card at time of booking
- Department billing & management
•    Ability for parking services to set up groups/departments and manage them 
•    Each group must be able to have its own managers, rates, and invoicing profile
•    Allow for clear segmentation of activity by department
- Invoicing and Payment Options
•    Ability to automate monthly invoicing of departments based on actual event parking usage
•    Ability for departments to pay via credit card for actual time parked
•    Detailed transaction records for each department’s activity
- Usage Visibility
•    Departments/Groups have access to real-time and historical reports on:
•    Number of guests served
•    Total hours/days used
•    Revenue and outstanding balances
- User Experience
•    App download or website
•    Mobile-friendly link or QR code (no app download required)
•    Guests can update license plate at any time before the session starts
•    Receipts and confirmation screens in app to include even parking details, location and link for parking directions
•    Event guests will only see rates available for their event/time frame, for a clear and simple booking
- Ability for services to create unique event specific promo codes, discounts, flat rates, and manage zones by activating and deactivating in office
- Ability for transparent and automated accounting with detailed reporting with direct department billing, invoice generation, portal for event organizing and real-time reporting.
- Annual database and snapshot of real-time/future parking loads
