The vendor required to provide oracle database maintenance and support solution for this legacy system until a replacement offender management system (OMS) is in place.
- Motorola solutions were the vendor for this system; however, all support for this system ended on 6/30/2025.
- Needs to find an alternate solution to support any offender Trak and oracle database emergency outages, along with providing routine maintenance services, ensuring that proper backups are in place, conduct health check and diagnostics review, and troubleshooting issues.
- Support requirements
1. System outages (urgent support)
• Support point of contact (POC)
o Designated support POC required for any emergency system outages
o Direct phone number to POC required to report urgent and emergency issues
• Response time for urgent support
o Support POC required to respond within 2 hours, during standard business hours
o Ongoing status updates for the urgent issue must be provided every 2 hours, until issue resolution
2. System monitoring (routine maintenance)
• Health check and diagnostics
o Review occurrences when the database went down (specific date/timestamps) to identify potential issues
o Review the logs for recurring errors and issues that may need to be addressed
• Routine maintenance
o Oracle database patches
• Response time for routine maintenance
o To be determined with support vendor and will be scheduled in advance
3. Data protection and recovery (routine maintenance)
• Backups
o Review the oracle RMAN backups and configuration to ensure that the proper required backups are running successfully
o Review the archive logs: cleanup and delete older logs to free up space
• Restore
o Put together a game plan to conduct a successful restore exercise test
4. Data cleansing (additional project)
• Offender Trak
o In preparation for the replacement OMS, will need to do data cleansing to ensure an accurate migration of data from the old system to the new OMS system.
• Inmate trust account (ITA)
o This is another old legacy system which manages inmate savings account.
o These funds are held in a bank account under the facility’s name and used for inmate expenses, deposits, and court-ordered payments.
o ITA is an oracle database running on version 9.
o Will need to do data cleansing to ensure an accurate migration of data from ITA to the new OMS system.
o ITA only receives updates from offender Trak.
