- the solution notifies designated users when records meet criteria for action, how permissions control access to these functions, and how the system ensures compliance with record retention and destruction standards.
- The solution has validation in place to prevent duplicate records as well as validating required fields or data elements when necessary, e.g., not allowing the system to advance to the next section until all required fields are validated.
- The solution supports users with dual roles (e.g., Juvenile Services and Parole, Probation & Pretrial Services), including the ability to assign appropriate access rights, permissions, and workflows without requiring duplicate profiles or separate logins.
- The solution can dynamically route tasks, approvals, and notifications based on the user’s active role, and allow authorized dual‑role users to view and manage client records across divisions while maintaining proper data segregation and audit trails.
- The solution distinguishes and logs user activity by role, and provides audit trails and reporting that clearly reflect the active role at the time of each action, ensuring accurate oversight, accountability, and compliance.
