The Vendor is required to provide for an intellectual property software system solution for the university.
- The software will be used to manage and track University-owned intellectual property including patents, trademarks, and copyrights.
- System Requirements:
• The software must have the capability to allow tracking all stages of intellectual property prosecution, including but not limited to disclosures, applications, filing and issuance dates, office actions, and responses.
• The software will have a CRM component to track inventor information including name, phone number, email address, home address, citizenship, department, and college.
• The software must be capable of allowing monitoring of federal reporting compliance and ideally be able to interface with the NIST iEdison system.
• The software must allow the tracking of financials including patent costs and licensing revenue.
• The software should be able to interface with a university website or provide a webpage to post marketing materials.
• The software must have the capability to track intellectual property agreements including licenses, options, interinstitutional agreements, and confidentiality agreements.
• The software should allow users to run and export metrics reports to tracks disclosures, filed patents, issued patents, licenses, and inventors and their colleges and departments.
• The software solution shall have stable and consistent performance
- Access:
• Single sign-on (SSO) integration.
• Role-based access without requiring multiple logins.
• Shall allow distinct logins for multiple users
• Flexible access control model to meet business needs.
• User session controls including dual authentication.
• Web interface compatibility with major browsers (Chrome, Firefox, Safari, Edge, IE).
- Storage and Archive Management/Disaster Recovery:
• Data storage backup and disaster recovery plans.
• Allow extraction/exporting of data if moving/migrating data to another platform.
- Training and Support:
• Training plan combining hands-on and online experience. The training plan shall describe the training provided during implementation and post-implementation. The training plan should combine hands-on and on-line experience to improve skills. This includes training for new users and updates for existing users over the life of the contract.
• 24/7 support for system administrators.
• Documentation for maintenance and upgrades.
