The vendor required to provide Medicaid billing software services to agency students with documented health issues requiring health services to enable a child with a disability to receive a free appropriate public education (FAPE) as described in the child’s individualized education program (IEP).
- The solution, while streamlining and optimizing Medicaid processing for county, any resultant contract shall also centralize logging and maintaining documentation for related services providers, case managers and track Medicaid eligibility information.
- Specific responsibilities
• Address and demonstrate their ability to provide online billing services for the district based on Medicaid services provided to eligible students.
• The district shall be able to download, modify, execute, view, and import various reports and inquiries into various file formats, as needed.
• The system must include, at a minimum, the following:
o Data analysis and report generation abilities
o Ability to run reports by student, school, provider, the district
o Ability to run report of denied and paid claims
o Ability to run accuracy report – ability to compare prescribed services to delivered services for audit and revenue maximization
o Ability to run report for forecasting revenue
o Ensure compliance – built-in compliance checks to verify all required pieces of information are present prior to claim submission.
• Provide initial training and ongoing, easy to access, online training and periodic face-to-face trainings as needed and stay current with the system.
• Have the capability to document multiple procedures, assessments and services at one time.
• The system should have the capability of receiving voice commands for note taking and recording session with the ability to transfer the voice command into text form for billing and documentation.
• Provide the ability to enter various types of plans of care (POC), progress notes, diagnostic interview examinations, various assessments and evaluations and generate forms that are needed for Medicaid billing and special education documentation purposes.
• Have the capability to electronically process, correct, resubmit, void, and transmit billing claims.
• Coordinate audit procedures and facilitate production of audit reports and recommendations to address audit findings.
• Respond to any state, federal, or district audit requests for the duration of any resultant contract.
• Provide and maintain disaster recovery plans and storage solutions to include regular tests of the backup system that will be operational in the event of a server crash.
• Mobile phone accessibility and usage.
• System shall interface with Medicaid and transportation claims when Medicaid and FAMIS eligible students are transported to and from billable services by county transportation staff.
• System must be web-based (no software on windows platforms and must be hosted exclusively in the country.
