RFP Description

The Vendor is required to provide a comprehensive, cloud based system that provides both legal matter and document management capabilities.
- The system must support day-to-day workflow management of the legal division, including case or matter opening and tracking.
- Provide for a new case/matter and document management system designed to improve workflow management, legal file management and document handling, case management and docketing, and email management.
- The system should include centralized document storage, legal case and matter management tools, deadline and task tracking, matter classification, the ability to reopen closed matters, electronic mail storage, efficient search capabilities, and ability to generate robust reporting and performance metrics.
- The system must allow for the management and tracking of deadlines, tasks, and calendar events related to individual matters.
- provide Interface Control Document (ICD) and Entity Relationship Diagram (ERD) for all interfaces.
- The system must integrate with Microsoft Desktop Client and Office 365 to enable easy saving of emails.
- The system must offer enhanced search capabilities to make it easier to locate specific matters and documents.
- The system must be cloud-based, must include cloud-based storage, and must provide enhanced security controls for sensitive documents.
- The system must have Optical Character Recognition (OCR) capabilities to extract text from scanned documents or images, facilitating easy search and retrieval.
- The system must allow for access controls, enabling the restriction of sensitive matter information to authorized personnel only.
- The system must support regular upgrades and maintenance to ensure optimal functionality. Upgrades should be performed frequently, preferably weekly, to keep the system up to date.
- The system must integrate with other applications such as Microsoft Office 365, Adobe Acrobat, Outlook, and One Note. Integration with these systems should facilitate smooth data flow and enhance user productivity.
- Provide all key implementation and training services including a kick-off meeting, establishing a schedule for implementation, data migration, user access setup, training and implementation including user workflows for each area of the Office (i.e., Litigation, Counseling & Drafting, and Executive Staff—administration and human resources).
