The Vendor is required to provide to procure a comprehensive, secure, and scalable library management software (LMS) suitable for K–12 school libraries within a school division.
- The solution will support elementary, junior high, and senior high school libraries, align with instructional goals, and enable efficient management of physical and digital learning resources.
- The LMS must support equitable access to library services, comply with state legislation and school division policies, and integrate with existing educational and administrative systems.
- Cataloguing and Collection Management
• Support for school-library standards including marc 21 and RDA
• Management of physical, digital, and multimedia educational resources
• Grade- and reading-level tagging
• Bulk import/export of bibliographic records
• Authority control and classification
• Barcode and optional RFID compatibility
• Ensuring item records are flexible (no character limits). This allows for long field inputs as some inputs have many characters.
• Record data on weeded copies. Provide an optional blank field to record the reason for the weeded copies, and the disposal method.
- Circulation Management
• Check-in, check-out, renewals, and holds/reservations
• The system must allow users to create and manage resource lists that support classroom sets and teacher collections.
• The system must allow each title to be assigned a physical location identifier (such as a sub-location, tag, or label) to show where the resource is stored.
• Users must be able to add, edit, and remove titles within resource lists.
• Users must be able to delete resource lists and individual titles as needed.
• Flexible loan rules by grade, school, or user type
• Fine-free or configurable fine policies appropriate for k–12 environments
• Option for automated notices and library reports (overdue, holds, reminders) via email or school-approved communication tools
- Student, Staff, and Patron Management
• Role-based access for students, teachers, library staff, and administrators.
• Integration with student information systems (sis) and authentication platforms (e.g., SSO, active directory, or equivalent)
• Support for automated user account creation and updates
• Privacy controls aligned with act
• Images of book titles must be available for recognition purposes.
- Discovery Layer / Online Public Access Catalogue (OPAC)
• Age-appropriate, web-based discovery interface for students, with the capability to create a student kiosk for independent checkout
