Student Online Registration System

Vendors to provide an online student registration system solution for the initial enrollment of new students and the annual registration of returning students.
- Platform
1. Must be fully compatible with Google Chrome; other web browsers are optional.
2. Must be currently operational and designed for K-12 school districts.
3. Must function in a desktop web browser and on mobile device web browsers.
- Support
4. Must have support availability during regular district operating hours - 7:00 AM - 5:00 PM Eastern, Monday - Friday.
5. Must include support via Email and full Help Documentation.
6. Should include support via Phone, Knowledge Base, Online Tutorials.
7. Must include initial setup, training and implementation, and customization requests.
8. Should be responsive to product improvement requests.

9. Must be a Student Privacy Pledge Signatory - https://studentprivacypledge.org
10. Must have User Provisioning Sync with OneRoster Server, PowerSchool SIS, or Active Directory so all users are updated within the system
11. Must have login options based on Google OAUTH2, LDAPS, or SAML platform
12. Platform and data must reside in the contiguous United States
13. All data must be encrypted in transport and at rest.
14. All data must comply with FERPA, COPPA, and HIPPA where applicable
- Program Features
1. Must have customizable forms. Customization must include the conditional display of certain fields or entire pages, and the ability to make any field or page conditionally required.
2. Must have the ability to assign staff users to multiple schools in the district
- PowerSchool SIS Integration
3. Must allow for conditional data mapping to both out-of-the-box and custom fields within PowerSchool SIS.
4. Must have the ability to create new students in PowerSchool SIS as well as update existing students.
5. Must include the ability to check PowerSchool SIS database for potential duplicate students before new student creation
6. Must include the ability to check PowerSchool SIS database for potential duplicate parent/guardian contact data before data delivery
7. Must include the ability to compare outgoing data from the vendor to existing data within PowerSchool SIS.
8. Must include the ability to easily distinguish between records that have been synced with PowerSchool SIS and which have not.
9. Must include the ability to notify parents, individually or en masse, that forms for their student have yet to be completed.
- Actionable Notifications
10. Must have the ability to notify school staff when forms are completed.
11. Must have the ability to notify specific district staff when students meet unique criteria, for example if the student has an IEP.
12. Parents should be able to return to the form any time during the year and update their student’s data. School staff should be automatically notified of the update so they can ensure the updated data flows into PowerSchool SIS.
- Reporting
13. Must include data analytics that inform school/district admins of form completion percentages.
14. Must include the ability to view, filter, and export data to CSV files.
15. Must have district level and school level dashboards and reporting tools.
