Professional Translation Services

The vendor is required to provide to obtain a task authorization contract for professional translation services to translate various documents.
- Could include transition briefings for new ministers or deputy ministers, other types of briefing material, PowerPoint presentations, and infographics.
- Department has a number of responsibilities such as:
• Consolidating and incorporating departmental input into key departmental products on issues ranging from budget to medium term planning, and to mandate letter implementation;
• Preparing transition documents to support the onboarding of new ministers and deputy ministers;
• Advancing policy development on key environmental files.
• Organizing executive management committee retreats and discussion on policy priorities; and,
• Developing materials, including correspondence, briefing notes and other products.
- The work is to obtain high-quality and timely translation services that reflect the tone, style and terminology used by the author.
- Conduct on an “as and when requested” basis, timely, urgent (as determined in the request) professional-quality English to French and French to English translation, English to French and French to English comparative reading, and proofreading.
- Acknowledge receipt of the request to the technical authority within two (2) hours, using the means the request was provided in.
- Process all documents for translation at a per-word pricing schedule based on the number of words in the original text to be translated
- Translate all documents, including tables, icons, graphics and illustrations as necessary
- Perform terminology research and ensure that the meaning of the translated version conforms to that of the original in all aspects
- Consult reference materials provided by the technical authority when available and any other relevant reference materials from other sources
- Complete translations using a style and level of language that is consistent with the nature and end use of the document
- Provide a quality control system to ensure the quality, accuracy, and consistency of the translation
- Ensure that all information is kept confidential.
- Provide completed translations within the following timeframes:
• Within two (2) calendar days for documents containing less than 2,000 words
• Within four (4) calendar days for documents containing 2,000 to 5,000 words
• Within six (6) calendar days for documents containing more than 5,000 words
• Urgent – 24 hours – word limit of 5,000 words
- Contract Period/Term: 1 year
