RFP Description

The Vendor is required to provide professional French translation services to accurately translate various documents, curricula and text from French to English and English to French on a continuous and frequent basis.
- Responsible for, but is not limited to the following:
•    Process all documents, curricula and text for translation at a per-word pricing based on the number of words in the original text to be translated and revised;
•    Translate and revise all documents, including tables, icons, graphics and illustrations. Services include terminology research;
•    Provide an electronic copy of the translated documents and other text in the format indicated in the request;
•    Ensure that all translations are revised for quality and accuracy, preferably by a resource different than the one(s) who provided the translation before being returned to the agency;
•    Ensure the consistency of large documents by limiting, as far as reasonable, the number of different resources working on the same document and providing an overall revision of the complete document to ensure a consistent level of quality;
•    Ensure that the meaning of the translated version conforms to that of the original in all aspects, including proper education terminology and consult the agency when needed;
•    Provide a quality control system;
•    Translations and/or revisions should be completed using a style and level of language that is consistent with the nature and end use of the document;
•    Complete translations and revisions as per timelines established by agency;
•    Ensure standardization and consistency with terminology within a given document and with other similar documents;
•    Provide urgent translation services when requested by agency;
•    Consult the reference materials provided by agency when available and any other relevant reference materials available from other sources;
•    Collaborate with agency to establish and maintain state French language standards; and
•    Attend meetings as determined by agency to review projects including any additional meetings required face-to-face or remotely.
- Communication and Hours of Operation
•    Advise immediately and in writing, to the agency requestor if the Successful Supplier believes that any services performed cannot be delivered on time or on budget, and make appropriate suggestions to correct the situation;
•    Monitor the proposed personnel’s performance to ensure that the work is completed on time, on budget and to the satisfaction of agency;
•    Provide a single point of contact for agency for the coordination of inquiries of questions related to a specific translation or revision;
•    When requested, staff from agency should be provided with the necessary information to communicate with the Successful Supplier’s translators or reviewers; and
•    Be able to receive and deliver translation requests from agency during regular business hours (local Saskatchewan time) from Monday to Friday, every week of the calendar year, with the exception of statutory holidays.
