Event Management, Production and Logistics Services

The vendor is required to provide professional consulting services from a firm or individual to support and advance events sponsored by the commission.
- Provide thought partnership in all phases of pre-planning and execution; including brainstorming event strategy, site diagrams, recommending best practices, ticketing, contributing creative perspective, and sustaining overall guidance and advice towards successful event execution;
- Participate in planning conference calls, scouting trips, and any other pre-event activities as needed and agreed to by the client;
- Proactively provide to the client, to review and approve, a commission action plan, timelines, schedules, progress tracking, and all details of the overall events plan;
- Advise and consult on the overall experience for attendees, including VVIPS;
- Liaise and consult with a to-be-determined network/media partner on the impact and needs for events produced for TV and streaming;
- Liaise with representatives from the state department of defense and other relevant entities to coordinate speaking engagements and performance elements for the events;
- Collaborate with the client to develop and implement a comprehensive parking and transportation plan to ensure attendees can park and access the event venues seamlessly; coordinate with local officials, transportation providers, and stakeholders to manage traffic flow, parking availability, shuttle services, and signage.

• Mobile ticketing check-in process
- Identify and coordinate with a print shop to print, deliver, and install (if needed):
• Credentials and underlays
• Vehicle placards
• Lex250 signage and decoration

- Coordinate the delivery / installation of, state flags (of various sizes), pulldowns, bunting, bunting fans, on town facilities, or other as assigned by client.
