Promotional Items Services

The vendor is required to provide top quality promotional items from concept to final design and delivery of items.
- Promotional items will be used in conjunction with visit agency marketing efforts to promote greater agency as a tourist destination both nationally and internationally.
- Use pantone color system (PMS) color matching, when available, and will ensure that products adhere to visit agency brand guidelines.
- Responsible for the coordination of all aspects of the process until final delivery and acceptance of completed promotional items has taken place.
- Provide a digital mock-up of each item, which must be approved by visit agency before proceeding.
- Provide a pre-production sample of each item at no additional cost to visit agency, to be approved by visit agency staff before final production of total units.
- Final units must be an exact match of approved pre-production sample.
- Quality check of all units and replacement of any damaged, incomplete, or missing units prior to final delivery to visit agency.
- Items shall be bundled for ease of counting and storing (ex: bundles of 10 or 25, as needed).
- Each product quote must include the following specifications:
• Unit price of each item, to include three different prices for varying quality of product;
• Product unit minimums;
• Art set up charges;
• Rush fees, if applicable;
• Product availability;
• Product specifications that outline quality (to include but not be limited to weight or thickness of the product, thread quality when applicable, measurements, material, available color options, PMS color matching, etc.);
• Production timeline including expected delivery date;
• Offer expiration date, as applicable;
• Freight options, as applicable;
• How units are packaged and/or bundled.
- Caps, quantity of 1,500 (see below color variations)
• Approximate size: standard ball cap size with adjustable back
• Color: full color logo stitching across front of cap
• 500 units with full color logo sewn onto white cap
• 500 units with full color logo sewn onto royal blue cap
• 500 units with full color logo sewn onto black cap.
