The Vendor is required to provide event planning and management services for various conferences and events organized by multiple divisions within department.
- Provide all logistics for registration, information and/or help desk to assist event attendees.
- Position event signage as needed.
- Serve as event liaison and manage venue(s), catering, buses, parking, AV, and other service providers.
- Ensure all personnel are fluent in English with the ability to receive, give, and understand written and oral instructions.
- Small Conference is considered up to 500 attendees. Successful respondent will provide a PM, Event Planner and up to two team members.
- Medium Conference will be considered between 500 to 1,000 attendees. Successful respondent will provide PM, Event Planner and up to five team members to work on the conference.
- Large Conference will be considered as 1,000 attendees or more. Successful respondent will provide PM, Event Planner and up to ten team members to work on the conference.
- Reserve meeting rooms, hotel, transportation, and parking spaces.
- Provide or arrange catering for breakfast, lunch, and afternoon snack for each day of the conference(s).
- Contract Period/Term: 1 year
- Non-Mandatory Pre-Response Conference Date: August 18, 2025
