The vendor is required to provide public relations communications and outreach services required include, but are not limited to, the following:
1. Strategic communications planning
• Assist the pao to create, maintain, and update an annual communications plan.
• Provide strategic recommendations to enhance the effectiveness of authority communications, public affairs, and media relations efforts.
2. Media relations and public outreach
• Develop, manage, and implement a proactive media relations strategy to engage local, national, and international media to achieve communications objectives.
• Draft, edit, and distribute media releases, advisories, statements, quotes, announcements, fact sheets, and media kits.
• Coordinate and pitch stories, arrange interviews, and respond to media inquiries in a timely manner.
• Organize and support authority press conferences and media briefings.
• Develop opinion editorials.
• Assist the pao in scheduling leaders and spokespeople to speak to the media (interviews, appearances, etc.).
3. Stakeholder and government relations
• Provide outreach support to lawmakers and other stakeholders, including talking points, letters, speeches, and presentations.
• Assist in developing and distributing regular communications from authority leadership to industry stakeholders, including the monthly authority e-bulletin and e-newsletters.
• Assist the pao to develop communications in support of public-facing events, including authority -sponsored conferences and briefings, community outreach, and meetings that support authority planning and destination management efforts.
4. Digital and social media
• Manage and enhance v presence on digital and social media platforms (Facebook, Instagram, YouTube, x [formerly twitter], and LinkedIn).
• Develop and execute social media strategies and campaigns, including organic and paid efforts.
• Create and distribute content such as posts, videos, graphics, and blog articles in collaboration with the pao.
• Monitor and analyze social media metrics to assess engagement and recommend improvements.
• Maintain authority email distribution list in constant contact (or a similar program) and prepare, send, and review e-newsletters and announcements.
• Support authority in maintaining the content to keep information accurate and relevant.
5. Content and services
• media monitoring (clipping) services.
• Revise authority -branded templates for presentations (.ppt), social media, periodic tourism updates, advisory board of directors’ meetings, and community meetings.
• Photography services, graphic design, and imaging licensing for communication deliverables.
6. Leadership communications
• Develop presentations, speeches, and leave-behinds for authority -leadership presentations.
• Provide media training for five to seven authority leaders annually.
• Review and edit the president and CEO’s report for monthly board of directors’ meetings, as needed.
7. Crisis communications
• Provide counsel and surge support during crises, such as natural disasters, health emergencies, or other disruptions.
• Participate in emergency calls, exercises, and authority department operations center activations.
• Draft and distribute timely crisis-related messages, talking points, news releases, and updates for authority website and social media.
• Monitor media coverage and public sentiment during crises and provide regular updates and recommendations.
8. Performance monitoring and reporting
• Monthly progress reports and a final written report prior to contract completion.
