The Vendor is required to provide in public relations, communication services, including strategic communications, and marketing services to support both internal and external affair matters at airports.
- To support its strategic goals and maintain effective engagement with diverse audiences, airport seeks to establish as-needed, on-call contracts with qualified firms to provide comprehensive communication, public relations, and marketing services.
- Category 1 - Public Relations /Communications
• Strategic communications:
o Assess and enhance existing communication channels, identify gaps, and improve approaches for both external and internal communications to inform and engage a variety of stakeholders – including employees, travelers, community members, elected officials and business leaders.
o Work with airport communications/PR team to develop strategic communications plans
o Ensure consistent messaging across all owned, earned and paid media platforms for a cohesive look
o Report key performance indicators (kpis) to ensure and measure effectiveness of new strategies
o Provide recommendations on how to target various media markets, including non-English speaking markets for earned media
• Public relations & communications:
o Build and maintain relationships with media and influencers, ensuring coordinated communication with airport staff. Provide media training for staff as necessary.
o Proactively identify opportunities for media coverage locally and nationally
o Draft press releases, media advisories and talking points
o Pitch stories to media, secure placement for stories, op-eds, etc.
o Provide briefing papers to support interviews and public presentations
• Executive communications:
o Assist in the creation of an executive communications strategy
o Draft speeches, talking points and presentations for executive leadership
o Draft internal and external communications from executive leadership
o Use airport owned media to achieve communication goals. Assist in creating internal newsletters and announcements.
• Crisis communications
o Provide rapid 24/7 support during disruptions and emergencies, including plan development, message management, and media/social media outreach to ensure accurate, timely information.
o Update guidelines for how airport should respond to emergencies, controversies or unexpected events as well as support for post-crisis recovery.
o Monitor media and social channels for emerging issues to identify potential crises early by tracking public sentiment and media coverage
- Category 2 - Digital & Social Media
• Social media:
o Plan and execute campaigns to increase participation, awareness and website engagement in collaboration with airport social media team.
o Monitor social media engagement growth and impressions. Provide expertise in emerging digital platforms.
• Content creation:
o Produce content for web and social media platforms. Discover and implement innovative ways to reach airport diverse audience across several platforms.
o Create visual elements for various media, including signage, vehicle wraps, event booths, infographics, and displays. Design work will typically be done within the guidance of airport established brand charter.
o Produce video stories about the airport experience, including public service announcements and episodic content for online or TV channels; manage storage and retrieval of creative assets. Work with airport staff to script or outline videos, filming or capturing videos and producing the video. Contractors will need to be comfortable and capable of working in an airport environment.
o Work with airport staff to provide professional photography services for events, website images, collateral, and other purposes as needed.
o Copywriting and editing services for a wide variety of marketing tools including websites, collateral, programmatic documentation, case studies, testimonials, annual reports, and other purposes.
• Brand development:
o Develop airport personality and positioning through message development, copywriting, and editing.
- Category 3 – Marketing & Paid Media
• Paid media:
o Plan, manage and create promotional campaigns across all media types.
o Develop advertising campaigns as needed and create advertising for television commercials, radio commercials, print and online advertising and email and mobile marketing.
o Design and produce both print and digital content for media materials.
o Implement and measure the effectiveness of advertising and outreach efforts—both digital and traditional—for public awareness, multi-language outreach, and culturally competent content.
o Track metrics and provide reports, along with recommendations on how to improve media investments
o Purchase advertising space across mediums – print, radio, digital/social, in-home, etc.
o Secure influencers and digital advocates when necessary
• Market analysis:
o Conduct research to understand community needs and preferences for tailored outreach.
o Identify and analyze target audiences, gauging their knowledge and attitudes toward airport and its initiatives.
o Benchmark other airports to identify best practices and ideas beneficial to airport. Provide analysis of existing market research to inform airport of similar projects/programs/initiatives and goals.
• Surveys:
o Collect and analyze demographic data to uncover passenger and employee insights and barriers.
o Lead focus groups as needed to gather feedback on airport programs and services.
• Reports/presentations:
o Analyze and present marketing metrics and analytics to inform strategy and track performance.
- Category 4 - Community Relations
• Community relations:
o Build, maintain and advance relationships with all external constituents and stakeholders, including local community members, business groups and government officials in the airport communities
o Work with airport team to enhance public awareness about airport airports and their projects and initiatives.
o Assist airport team with special projects, including coordination of the airport aviation academy, aviation career day, etc.
• Database management:
o Maintain up-to-date records of contact databases for efficient outreach and relationship management
- Category 5 – Special Event Planning
• Special events:
o Plan and execute events of all sizes to highlight airport and its mission. Promote, assess and evaluate event targets, goals, and attendance.
