The Vendor is required to provide photography services for underclassmen, senior portraits, and related services for the academic year.
- Encompass professional photography, photo retouching, printing, delivery, and supplementary services aimed at enhancing the experience of students and families during portrait sessions.
- Must possess expertise in educational photography and a commitment to customer satisfaction.
- Photography Services
• Underclassmen photography: capture individual portraits of students in grades 9-11. Sessions should be efficient, ensuring minimal disruption to the school day.
• Senior photography: provide professional sessions for senior portraits. Vendors must offer multiple session packages with varying lengths and locations, including options for indoor and outdoor settings at each respective school.
• Group photos or special event: capture class or individual photos for all grades, clubs, and sports, including cap and gown photos for seniors.
• Digital packages: offer packages that include digital copies of photos suitable for printing and sharing digitally. All digital photos must be provided in high resolution in formats appropriate for sale.
• Retouching services: all photos must undergo professional retouching, ensuring high-quality finishes. Retouching standards include the removal of blemishes, smoothing skin tone, and enhancing colors as needed.
• Retakes/makeup days: photographer will provide multiple makeup/retake days for underclass and faculty on dates determined by the photographer and the yearbook adviser.
- Printing and Products
• Print options: the vendor must provide a range of print sizes, including but not limited to 5x7, 8x10, and 11x14. Prints must be offered on high-quality photographic paper.
• Photo packages: offer bundle packages that might include prints, digital downloads, and specialty items such as photo books, enlargements, and greeting cards.
• Delivery of products: all printed products must be delivered to the school or individual students/families as per the chosen delivery option by their representatives.
- Communication and Coordination
• The vendor must coordinate with district designated site coordinator to schedule all photography days and times.
• Provide regular updates and a timeline leading up to photography days regarding preparations, expectations, and requirements from students and parents.
• Maintain open lines of communication with school staff and parents throughout the process for scheduling, special requests, and unforeseen changes.
- On-Site Requirements
• All photography sessions must take place on designated school grounds during pre-approved hours to minimize educational disruption.
• Present staff must be professional, courteous, and well-dressed, displaying identification at all times.
• Establish a quick turnaround for photo sessions, with the goal of capturing each subject in a timely manner without compromising quality.
• If needed by site, one "on-campus" photography for seniors.
• If needed by site, photos of underclass and faculty for registration and faculty "first day" digital images to be turned into district offices within the first week of classes.
- Customer Service
• Training staff should be skilled in engaging with students and making them feel comfortable and confident during photo sessions.
• Ensure a user-friendly online ordering system for parents and students to view, select, and purchase photographs easily.
• Provide prompt responses to inquiries and resolve any issues that may arise during or after the portrait sessions.
• Provide posters or other announcements to help promote dates and sales of portraits.
• Provide schools with payment plans and procedures.
