Event Production Services

The Vendor is required to provide s for comprehensive event production services for fan zone activations during the world cup in July 2026.
- Event Producers should demonstrate expertise in the following areas:
•    Logistical Planning
•    Production Management and Execution
•    Creative Design and Graphic Services
•    Sound and Audio Engineering
•    Power Distribution
•    Lighting
•    Permitting
•    Vendor and Talent Acquisition and
•    Management (Food trucks, DJs, Artists, Heavy
•    Equipment and Portable Restroom rentals, etc.)
•    Sponsorship Solicitation and Management
•    Multi-Agency Collaboration
- The selected Event Producer will share the City’s vision and values, and will possess extensive experience in the following areas: 
•    Event Design
•    Event Management
•    Event Marketing
•    Event Budgeting
•    Event Production
- Event producers are encouraged to develop a sponsorship plan aimed at securing corporate and local business support to provide additional funding for the fan zone activations.
- Budget should include all communications and marketing costs in preparation and during the event including pre-event outreach, earned and digital media, photography, videography, onsite signage, and more.
- Event Producers should include any private security costs related to production and equipment oversight.
- Event Producer is responsible for the strike of event equipment and infrastructure. All other event clean-up is performed by City staff and contractors and should not be included in the production budget.
