Event Production Services

The Vendor is required to provide event production services in support of the university’s event production.
- Serve as a strategic partner, ensuring that all aspects of event production are executed with professionalism, precision, and creativity.
- These events are critical touchpoints that highlight university’s tradition, culture, and reputation for excellence, requiring flawless execution and innovative solutions to meet the expectations of diverse audiences, including students, faculty, alumni, distinguished guests, and community stakeholders.
- Production Services
•    Pre-event planning.
•    Site surveys, to include technical run-throughs.
•    Lighting design (staging and event logistics).
•    On-site setup, and post-event breakdown.
•    Audio visual (AV) system design.
- Video Production
•    Camera for live and archival purposes (when applicable).
•    Professional editing full-length recordings (when applicable).
•    Broadcasting, Real-time of events via university-selected platforms.
•    Cameras, lenses, and required accessories.
- Audio Services
•    Public Address (PA) rentals: including system setup, microphones, mixers, monitors, and speakers.
- Stage & Structural Elements
•    Stage Rentals: Modular staging solutions.
•    Truss Rentals: Structural framework for lighting, audio, and scenic elements.
•    Pipe and Drapes: Provide and install grade draping for stage backdrops. Event theming, and space partitioning.
•    LED Video Walls: Large-format, high-definition. Displays for audience engagement and improved visibility.
•    Delivery, setup, and teardown
- Event Staffing
•    Technical staff, including camera operators, sound engineers, lighting technicians, and stagehands (when applicable).
•    Event managers, stage crew and support personnel for on-site coordination.
•    Demonstrate the ability to adhere to all applicable safety, fire, and accessibility compliance requirements.
