The Vendor is required to provide athletic sponsorship marketing, and other methods of advertising and marketing services.
- Provide to gain consistent, growing revenue from advertisements and is willing to consider a business model that supports and enhances its branding.
- Sponsorship Solicitation and Marketing
• Conduct comprehensive market research to identify potential sponsors whose brand aligns with the district’s audience.
• Develop a tailored marketing strategy that includes target sponsor profiles, personalized outreach plans, and promotional campaigns designed to engage potential sponsors.
• Implement an outreach strategy through various channels, such as social media and digital marketing, to engage potential sponsors.
• Design and offer customizable sponsorship packages, such as targeted placement during high attendance events.
• Ensure all sponsorship offers are competitive, transparent, and in the District’s best interest.
- Sponsorship Agreement Management
• The successful proposer must draft, negotiate, and execute sponsorship agreements that include clear terms regarding payment schedules, sponsorship duration, and advertising rights.
• The successful proposer must submit all agreements and advertising content to the district for review and approval prior to execution.
• Maintain positive and professional relationships with all sponsors, serving as the primary contact.
• Conduct contract negotiations and renewals, aiming to retain sponsors and optimize the sponsorship terms in favor of the district.
• Address sponsor inquiries, complaints, or service issues in a timely manner.
- Advertising Content and Display Coordination
• Ensure all advertising content complies with district advertising guidelines, local ordinances, zoning regulations, state and federal laws.
• Establish clear guidelines for ad submissions, including specifications for size, content, design, and deadlines, and ensure these guidelines are communicated effectively to all sponsors.
• Oversee placement, advertisement schedules, and sponsor rotation.
• Remove or replace any advertisement deemed inappropriate or in violation of policy by the district.
• Set up a review process to ensure that all advertisements meet the district’s standards for appropriateness, quality, and compliance with legal requirements.
• Work with sponsors to optimize ad content for the scoreboards' digital display format, ensuring high-quality visibility and impact.
- Financial Management and Reporting
• Collect sponsorship payments directly from sponsors and maintain financial records.
• Provide the district with detailed quarterly financial statements showing:
o Gross sponsorship revenue by sponsor
o Payments received and outstanding balances
o Remaining scoreboard/equipment cost balance
o Commission amounts owed to the district after the payoff milestone is reached
• Distribute agreed-upon commission payments to the district in accordance with contract terms.
- Revenue Sharing Model
• Sponsorship, advertising, and marketing services revenues must first be applied toward equipment costs until fully paid.
• The district must receive an agreed-upon fixed percentage commission on all revenues thereafter.
• The commission percentage, payment frequency, and allowable expenses must be established in the final contract.
• Manage the financial transactions related to sponsorships, advertising, and marketing services, ensuring that the district receives its agreed-upon percentage of the net revenues after all associated costs are covered.
