Photography Services

The Vendor is required to provide professional photography services for youth sports programs, performing arts programs, and special event dances. 
- Photographer will have the opportunity to photograph up to 1,400 youth participants across multiple program areas during the contract term.
- Youth Sports
•    Includes soccer, basketball, softball, and any additional sports programs or events introduced during the contract term.
- Performing Arts
•    Includes dance, theatre, and any additional performing arts programs or events introduced during the contract term.
- Special Events
•    Includes the annual Sweetheart Dance and any additional events or programs introduced
- Photo Packages:
•    Photo packages must include a basic package and at least three (3) additional photos package options. Shipping shall be included in the package prices.
•    The basic package price must remain fixed throughout the contract term. Other package prices may vary.
•    Basic Package must include:
o    1 team photo (5x7 or 8x10; youth sports program only)
o    2 individual photos (3x5 or 5x7)
o    4 wallet-size photos (2x3)
- Photographer Responsibilities:
•    Work with parks and recreation staff to schedule photography sessions for each program.
•    Provide printed order forms with package options on site for each photography session and provide an electronic copy of package options to the parks and recreation department. Photographer contact information must be included on the form.
•    Collect various methods of payment for photo packages, including online payment options and onsite credit card payments for each photography session.
•    Deliver photographs directly to participants via country postal service no later than three (3) weeks after the photography session.
•    Maintain a direct line of communication with parents/guardians of participants, handling any customer concerns, questions, and all other matters pertaining to photographs/photography sessions.
•    Include the department logo on all photographs. 
•    The department will provide a digital file of the logo.
•    Provide the city with proof of insurance meeting requirements specified listing the city additional insured.
•    Maintain professional conduct and appropriate behavior during all interactions with youth, parents, and staff.
- Photographer must agree to pay the City a flat-rate percentage of gross sales.
