The Vendor is required to provide for all on-site computer infrastructure and the seamless integration of remote guests into live event broadcasts or for one VIP speaker into a remote meeting for presentations.
- Provide creative services, marketing, web/social and media/graphic design, video production, and transmission services to support the various needs of state agencies.
- The audio and video feeds must be delivered cleanly to the primary A/V Contractor’s video switcher.
- must provide the necessary hardware and software to capture and route remote guest video and audio feeds, including a confidence monitor for the meeting display.
- must facilitate all technical aspects of live video calls with remote presenters which includes, but not limited to, managing guest check-in, conducting pre-show audio and video tests, and troubleshooting any technical issues on the remote end.
- must supply a team of experienced IT and event technicians to manage all aspects of the setup and execution.
- The required platforms are Zoom, Teams, and Webex. Office reserves the right to add other platforms or applications as needed. The Contractor is responsible for maintaining active accounts for all required applications or platforms.
- The venue may provide the Wi-Fi connection, but it cannot be shared amongst event attendees.
- Must secure and manage a dedicated, robust internet connection for events that is separate from a venue’s general Wi-Fi. Working with the host site’s IT is required for every location.
- Work outside of business hours is common and early morning and evening work hours are required.
- Specific to onsite remote guest event support services being performed, preferably, with government entities.
