The Vendor is required to provide for photography services.
- The total number of students, grade 9-12, is approximately 2,400. The total number of seniors is approximately 600.
- For Underclassman Standard/ID Portraits:
1. Schedule
• There should be four scheduled photo days and one scheduled make up photo day. Begin taking photographs during the second and third week of September and complete no later than fourth Friday of September.
• Return picture photo packets to the High School Building by mid-October.
• Photograph retakes will occur no later than mid-November.
• Staff photos will be taken on a separate date, ideally during a Superintendents Conference Day. Electronic student photo files should be submitted to the school district no later than October 1st.
2. Picture Packages
• The objective is for the district to provide affordable picture packages to all students.
• The district will not be accepting commission from the Vendor for picture packages.
• Describe the various picture combination packages including the various sizes and number of each, plus price.
• Provide picture package information to students prior to picture day and provide additional order forms and reminder posters to school for display.
• Picture packages should be returned to the school, identified by student and sorted by homeroom.
• A family discount program should be proposed to reduce cost to families with multiple children in the District.
• Provide customer service for parents to contact with photo issues and resolve issues quickly.
• The vendor will photograph each student and staff member at no charge, whether or not the student/staff member is purchasing photographs.
- For Enhanced Senior Portraits:
1. Schedule
• Designated staff to assist with scheduling appointments.
• Provide all of the seniors with the opportunity to be photographed at Monroe Woodbury High School.
• All senior image capture dates will be established and held on location (school campus) starting in June with additional portrait dates in July, August, September, October, November & December, if needed.
• School may also request a final senior portrait session date to be held during school hours.
• In the 2023 school year this consisted of 48 dates distributed as follows July (8 dates), August (8 dates), September (6 dates), October (4 dates), November (8 dates), December (6 dates), January (5 dates), February (3 dates).
• This historical information is being provided to help the Vendor plan and can be negotiated with the school district.
2. Picture Packages

• Photograph of student should include multiple poses and be provided in color or black and white.
• Schedule photo sessions directly with families.
• Picture packages should be mailed directly to each student.
• Provide customer service for parents to contact with photo issues and resolve issues quickly.
• Make sure to include any sitting fees for Senior Photos and discuss how those sitting fees get credited back to families.
• Discuss how you accommodate students who cannot afford the sitting fee (example scholarship, one pose only, etc.). The school district requires that each Senior has the opportunity to have a photo taken for the yearbook.
