Event Production Services

The Vendor is required to provide event production support including planning, technical production, audiovisual services, staging, and event staffing.
- Services will support high-profile university events including, but not limited to: commencement ceremonies, university-wide programs and celebrations, academic and administrative events, community and guest engagement events.
- Technical specification requirements
1. Production services
•    Pre-event planning and coordination.
•    Site surveys, to include technical run-throughs.
•    Lighting design (staging and event logistics).
•    On-site setup, and post-event breakdown.
•    Audio visual (AV) system design and integration.
2. Video production
•    Professional camera for live and archival purposes (when applicable).
•    Video production and post-event editing full-length recordings (when applicable).
•    Broadcasting, real-time of events via university-selected platforms.
•    Cameras, lenses, tripods, switching equipment and required accessories.
3. Audio services
•    Public address (pa) rentals: including system setup, microphones (wired and wireless), audio mixers and sound control equipment, monitors, and speakers, sound checks and technical operation during event.
4. Stage and structural elements
•    Stage rentals: modular staging platform and risers.
•    Truss rentals: structural framework for lighting, audio, and scenic elements.
•    Pipe and drapes: provide and install grade draping for stage backdrops. 
•    Event theming, and space partitioning.
•    Led video walls: large-format, high-definition. 
•    Displays for audience engagement and improved visibility.
•    Delivery, setup, and teardown
5. Event staffing
•    Technical staff, including camera operators, audio engineers, lighting technicians, and stagehands
•    Event managers, stage crew and support personnel for on-site coordination.
•    Demonstrate the ability to adhere to all applicable safety, fire, and accessibility compliance requirements.
