RFP Description

The Vendor is required to provide comprehensive public relations and communications services, including but not limited to the following:
1. Public relations and communications strategy
•    Develop and implement a comprehensive communications strategy that promotes the district’s initiatives, achievements, programs, and priorities.
•    Provide strategic counsel to district leadership regarding messaging, public perception, and media engagement.
•    Assist in building and maintaining positive relationships with local, regional, and education-focused media outlets.
•    Support communications related to district initiatives, school events, policy updates, and community engagement efforts.
•    Monitor media coverage and public sentiment related to the district and provide recommendations for proactive communication.
2. Monthly written content creation
•    Develop clear, engaging, and accessible written content to communicate district news, initiatives, and achievements.
•    Prepare monthly articles, press releases, feature stories, newsletters, and website content highlighting district programs, student success, staff recognition, and community partnerships.
•    Ensure content reflects the district’s voice, values, and branding standards.
•    Assist with editing and proofreading district communications to ensure clarity, accuracy, and consistency.
3. Social media content development
•    Develop and manage a strategic social media content plan across district platforms (e.g., Facebook, Instagram, X/Twitter, LinkedIn, etc.).
•    Create engaging posts highlighting district events, achievements, programs, and announcements.
•    Develop graphics, captions, and short-form messaging designed to increase engagement and reach.
•    Provide recommendations for improving social media engagement and audience growth.
•    Monitor comments and public feedback, advising the district on appropriate responses when necessary.
4. Email campaign development
•    Design and implement targeted email communications to parents, staff, community members, and other stakeholders.
•    Develop district-wide newsletters and announcement campaigns to ensure consistent and timely distribution of information.
•    Assist in structuring messaging for major district updates, events, and initiatives.
•    Track and analyze engagement metrics such as open rates and click-through rates to improve communication effectiveness.
5. Video and reel production
•    Plan, script, and produce short-form videos and reels that showcase district programs, classroom activities, events, and student or staff achievements.
•    Capture visual content at district events, school visits, and special programs.
•    Edit and produce professional-quality video content suitable for social media, websites, and presentations.
•    Ensure all video content aligns with district branding and messaging.
6. Crisis-response communications
•    Provide strategic communications support during crisis situations or sensitive issues that may impact the district.
•    Assist in the development of crisis communication protocols and messaging guidelines.
•    Draft timely statements, media responses, and public messaging during emergencies or high-profile issues.
•    Provide guidance on managing public communications and media inquiries during crisis situations.
7. Professional development and communications training
•    Provide communications training for district leadership, school administrators, and designated staff.
•    Offer workshops on effective messaging, media interaction, social media best practices, and community engagement strategies.
•    Provide guidance on improving internal communications with staff and external communications with families and community members.
•    Support the development of communication tools and templates that staff can use for consistent messaging.
8. Reporting and evaluation
•    Provide periodic reports summarizing communication activities, media coverage, and engagement metrics.
•    Evaluate the effectiveness of communications strategies and recommend improvements.
•    Assist the district in measuring the impact of communications efforts on community engagement and public perception.
