The Vendor is required to provide for audio-visual, creative and technical production for capital campaign kickoff event, including the corresponding graphic media design and scenic fabrication in accordance with all requirements.

1. Creative conceptualization
• Bi-weekly planning meetings
• Production of layouts and visual mock-ups
• Two (2) or more in-person site visits
• Collaborate with event producers on event design
2. Technical equipment and crew
• Providing or sourcing all gear
• Event execution with premium crew
• Dedicated td for duration of project
• Execution of all AV components (guest environments, main stage program, talent riders)
• Rigging execution
• Production of 3d stage renderings and cad plans
3. Graphics and media
• Design multimedia live event brand guide using campaign brand guide
• Utilize existing university media and capture footage to produce program videos and graphics
• Graphic design of animations, title cards, lower thirds and multimedia environment for selected video displays and other immersive media formats
• On-campus filming (campus life, architecture, environments)
• Short form video capture and edit packages aligned to speech notations
• Motion graphics and branded animations to match guidelines and theme
• Theatrical campus backgrounds for opening and closing moments
• Loop content for fill and transitions
• Screen content must feel authentic to location, no stock footage or generic template filler graphics.
• All collaborated with event producers and university marketing for storytelling and tone
4. Scenic fabrication
• Creative design and ideation
• 3d renderings
• Full execution for main stage scenic and other event environments and experiences
• Main stage fabrication: a custom stage environment that functions as the primary visual anchor for the show, integrating scenic walls, dimensional elements, and branded architecture designed to frame screens, presenters, and content.
• Environmental scenic (room-wide) fabrication: distributed scenic pieces throughout the room to establish a campus-inspired setting — such as architectural treatments, wayfinding, branded installations, and atmospheric scenic elements that enhance storytelling and guest immersion.
