The Vendor is required to provide photography services for include:
• Awarded vendors shall provide all labor, material and equipment necessary to provide photography services.
• All information must be clearly marked with the photographer's name, address and local phone number.
• Choice of three backdrops shall be made available for students.
• Photographer shall provide standard picture packages at the same price for all schools within the district.
• Final prints must be returned to the schools for distribution, within four (4) weeks from the date the orders are picked up.
• Proofs must be returned with the final prints along with photographer’s phone number.
• If a pre-pay program is selected, then there are no proofs.
• Responsible for the collection of all applicable state and local sales taxes.
• Collect all monies and return the school commissions upon the delivery of the pictures.
• Failure to do so shall be cause for immediate cancellation of the contract and removal from the district's vendor list.
• Color packets are to be printed only for those individuals who have prepaid.
• Must make available, to all buildings, 3 sets of color 1" x 1½" photos at no charge: one for the memory book, one for the office and one for the media center.
• Make available, at no charge, the option of die-cut hard-copy images, digital yearbook cd or both. .png or jpeg are the standard formats for digital copies
• A digital file must also be provided to our department and be compatible for download into our infinite campus student record database (provide sample).
• Only jpeg format photos are acceptable and all images must be resized appropriately prior to storing them.
• The file structure of the zip file can be arbitrary (i.e. It’s okay if images are in folders), but only zip files are acceptable for bulk upload.
• The following upload formats are currently available:
o Zip file where files in zip archive are jpeg images with the names as student numbers (i.e. 001234567.jpg).
o Zip file with arbitrary jpeg file names and an ‘idlink.txt’ file.
o Person id mode.
o Zip file with file names representing person id values (i.e. 684.jpg).
o The person id is a unique number automatically assigned to each person when they are added to the database.
o Mixed mode.
o Zip file with either a number (person id and student number) or a first and last name combination.
o If the image file can uniquely be identified with a person, it will be accepted.
o If two students have the same first and last name, the file will not be accepted.
o If a numbered (2.jpg) file is both a student name and a person id, the file will not be accepted.
• Vendors shall make available, at no charge, a student directory with student pictures separated by grade level and alphabetical within grade level.
• Each photo must be 1" x 1 ½"
• A color photo student identification card must be available for each student and staff member at no charge.
• Id cards must be delivered onsite on picture day.
• Pictures are to be delivered in packaging which ensures safe delivery to the home.
• A minimum of two cameras and two photographers must be present at each location on picture taking day.
