The Vendor is required to provide to assist with the planning, coordination, execution, and evaluation of marketing and community engagement events.
- Requirement:
1. Project management
• Assign a project manager to serve as the primary point of contact.
• Develop and maintain an event and marketing support schedule.
• Coordinate planning meetings with authority marketing department (events specialist).
• Provide regular status updates and progress reports to authority.
2. Marketing and events planning support
• Assist with planning and coordination of authority -hosted and authority -sponsored events:
o Roadeo finals and family fun day
o Bus rapid transit groundbreaking ceremonies
o Linkus supplier summit
o Mobility center at Rickenbacker grand opening
o Lit conference 2026 (September 10 -13, 2026)
• Support development of event timelines, task lists, and logistics plans.
• Coordinate with internal staff and external partners, and vendors.
• Support event registration, outreach, and promotional activities when applicable.
• Ensure compliance with authority branding, messaging, and accessibility standards.
3. Event execution support
• Provide on-site or virtual support during approved events.
• Assist with event setup, coordination, and breakdown.
• Troubleshoot event-day logistics and coordination issues.
• Support attendee engagement and information dissemination.
4. Marketing and promotional support
• Assist with coordination of marketing materials for events (digital and print).
• Support distribution of promotional materials and outreach efforts.
• Coordinate with authority staff on messaging, timelines, and approvals.
5. Evaluation and reporting
• Collect and summarize post-event feedback and participation metrics.
• Evaluate effectiveness of marketing and event activities.
• Provide recommendations for improvements to future events and outreach efforts.
