The Vendor is required to provide youth sports photography services under a parent-pay service model.
- Parents or guardians will purchase photography products directly from the selected contractor.
- The District will not purchase photography services, guarantee participation levels, or assume financial responsibility for sales, refunds, or fulfillment.
- The District maintains and operates more than 3,000 acres of developed and undeveloped parkland, including 81 parks, 70 miles of trails, and multiple recreation facilities, serving a population of around 91,000 people.
- Provide all labor, equipment, materials, staffing, and services necessary to perform youth sports photography services, including but not limited to:
• Photograph all District-assigned youth sports teams
• Coordinate and schedule picture days on game days without interfering with games
• Provide online ordering and payment systems for families
• Provide a District-approved process for retakes, makeup sessions, missed players, and weather-disrupted picture days.
• Provide minimum purchase options consisting of a 5” X 7” team photograph
• Manage all financial transactions with participants
• Offer additional optional packages at contractor discretion
• Deliver products directly to participants
• Provide customer service, corrections, refunds and reprints
• Notify all coaches no less than one week prior to applicable picture date(s)
• Provide sales and donation summary reporting to the District at the end of each year
